The extension is a quick capture tool. The product is the backend, portal, scheduler, email engine, CRM integrations, unsubscribe handling and reporting layer behind it.

The day-to-day workflow

What IT needs to provide

Confirm hosting and URLs

Production will use the agreed Lujo URL. Current application redirect examples are based on https://lujo.blunek.services; final client URLs must be reflected in OAuth app settings.

Provide CRM access

For Vincere: domain, client ID, API key, and permission to approve OAuth access. Bullhorn and JobAdder support depends on the configured client provider.

Choose email sending method

Supported paths are Vincere activity/email API, Gmail OAuth, Microsoft 365 OAuth, or SMTP relay.

Roll out the Chrome extension if required

Users configure server URL and API key in the extension options page. Enterprise Chrome deployment can pre-distribute the extension where needed.

Integration details

Vincere

  • OAuth start: /auth/vincere/authorize?clientId=...
  • Callback: /auth/vincere/callback
  • API uses Vincere id-token and x-api-key headers internally.
  • Lujo can store refresh tokens and refresh access automatically.

Email methods

  • Vincere: preferred where CRM timeline logging is important.
  • Gmail: consultant-level OAuth, sends as their Gmail account.
  • Microsoft 365: Graph OAuth, sends as consultant mailbox and can create calendar reminders.
  • SMTP: direct mail relay for standard mail servers.
OAuth note: final production domains must be added as authorised redirect URIs before go-live.
Security and data

Controls in the current build

  • Portal users authenticate with sessions and password hashing.
  • API routes require an API key or portal bearer session.
  • CRM and email secrets are encrypted at rest for new writes.
  • Portal sessions store token hashes.
  • Unsubscribe links are HMAC signed and can include expiry.
  • Rate limiting is applied to sensitive endpoints.
  • Outbound provider calls have timeouts.
  • Unsubscribes and bounces are tracked with audit history.
Data processed: candidate name, email, phone where available, placement context, consultant details, email send status, bounce/unsubscribe events and audit records.

FAQ

Do recruiters need to learn a new CRM?

No. Lujo is designed to work around the existing CRM workflow. The extension or CRM trigger makes enrolment lightweight.

Can templates be changed after a candidate is enrolled?

Yes. Templates are rendered at send time, so future emails use the latest approved wording.

What happens if an email bounces?

Lujo tracks bounces, retries where appropriate, and can pause enrolments after configured thresholds.

Can a candidate unsubscribe?

Yes. Unsubscribe links cancel or skip future active nurture jobs for that candidate/client scope.

Can non-technical users use it?

Yes. The portal is intended for administrators and consultants. IT involvement is mainly during setup, credentials, OAuth approval and extension rollout.

Company profile

Capture the basics so the whole team has a shared reference. This step is usually completed by the commercial sponsor or account manager.

Tip: Identify at least 4 stakeholders: someone who can approve spend (commercial), someone who will manage day-to-day operations (ops lead), someone who controls CRM/IT access (IT contact), and someone who approves outbound message wording (brand/compliance).
Example success criteria: "Within 6 months, 100% of placed candidates enrolled in nurture; bounce rate under 5%; at least 3 re-engagement conversations attributed to Lujo touchpoints."

Systems access

This is the main IT coordination section. Complete this with your IT contact or CRM administrator.

Who should complete this? You need someone with admin access to your CRM who can create API credentials and approve OAuth applications. For Vincere, this is usually someone with "Integration Manager" or "Administrator" permissions.
For Vincere: Go to Settings > Developer Hub > API Credentials. Create a new set of credentials, note the Client ID and API Key. The redirect URL will be https://[your-lujo-url]/auth/vincere/callback.

Email method

Choose how Lujo sends messages. Each method has trade-offs. Start with what's easiest to approve and upgrade later if needed.

Vincere Email (Recommended for CRM users): Emails appear in CRM timeline. Requires Vincere integration to be set up first. No extra OAuth needed.
Microsoft 365 / Gmail: Each consultant authorises their mailbox once. Emails come from their address with their signature. Best deliverability.
Compliance note: All Lujo emails include an unsubscribe link by default. Make sure your compliance team reviews the footer wording and the unsubscribe confirmation page.

Chrome extension rollout

The extension is optional. It lets consultants enrol candidates directly from CRM pages without switching to the Lujo portal. Decide whether this is needed for your workflow.

Do you need the extension? If consultants mostly work in Vincere/Bullhorn and you want one-click enrolment from the candidate page, yes. If they're happy using the Lujo portal or you have API automation, skip this step.
Supported CRM page families: *.vincere.io, *.bullhornstaffing.com, cls*.bullhorn.com and *.jobadder.com. The extension reads candidate name and email from the page and pre-fills the enrolment form.

Templates and approval

This is where the value lives. Templates should sound human, not like marketing automation. Get sign-off from someone who understands your brand voice.

Tone guidance: The best post-placement emails feel like they're from a real person checking in. Avoid sales language. Example: "Hi {{firstName}}, it's been 3 months since you started at {{company}}. Hope all is going well! Just wanted to check in..."
Default timing: Day 0 (welcome), Month 3, Month 6, Month 9, Month 12, then every 6 months to Month 36. Adjust based on your industry and relationship style.

Go-live testing

The final checks before real candidates are enrolled. Don't skip these - a failed email on day 1 creates a bad impression.

Before you tick these boxes: Actually test each item. Don't assume it works. Use a test candidate (ideally yourself or a colleague) and follow the entire flow from enrolment to email receipt.
Go-live checklist complete? Congratulations! Your Lujo instance is ready for production use. Start with a small batch of real placements and monitor the dashboard closely for the first week.
Recommended approach

The best client format is a documentation site, not a PDF.

PDF is still available through print/export, but the primary experience should be online, searchable, role-based and tied to onboarding progress.

Authenticated onboarding for clients

After login, the same site becomes a guided checklist with saved progress, owners, credentials status, tests and launch readiness.

PDF only as an output

PDFs are useful for procurement, compliance packs and offline review. They should be generated from the live source so they never drift.
